How to use Who Was When for ServiceM8
What is Who Was When?
Who Was When gives you instant visibility into the complete visit history for any client site in ServiceM8. Open it from any job card to see a visual timeline showing upcoming scheduled visits, past visits over the last 12 months, and live on-site activity with real-time duration tracking. Works on desktop and the ServiceM8 mobile app.
Getting Started
Step 1: Enable the beta addon
Who Was When is a free beta addon. Enable it using the link below — look for the icon shown here.
Step 2: Open it from a job
Navigate to any job in ServiceM8. Click More in the toolbar, then hover over Addons to reveal the submenu. Click WhoWasWhen to open the addon.
Using Who Was When
Visit timeline
The main view shows a visual timeline of every visit over the last 12 months. Each entry shows:
- Staff member — who visited the site
- Date and time — when the visit happened
- Job number — click to copy or open the job directly
- Status — current job status
- Description — job description for context
Multiple staff on the same day are grouped together so you can see the full picture at a glance.
Live activity and upcoming visits
At the top of the view, you'll see who's currently on-site with real-time duration tracking, plus all upcoming scheduled visits with date, time, and assigned staff.
Tips
- Tap any job number to copy it to your clipboard
- Click through to open any job directly in a new tab
- The timeline covers the last 12 months of visits
- No setup required — just enable and open from any job card
